Am I required to provide personal data?
If you would like to register for any of the conferences hosted on this website, then you are required to provide certain personal data which we need in order to process your request or to meet certain legal requirements. Fields where you provide such mandatory data are marked with an asterisk (*) symbol.
Identity of the Data Controller
Protection of personal data and its processing systems is of strategic importance for Zita which operates exclusively in the public interest in order to achieve its short and long term objectives. Zita generally processes personal data which is necessary for the performance of a task carried out in the exercise of official authority vested in it as a data controller, and at the same time is committed to ensure the confidentiality of this data.
In order to protect your personal data, a number of technical and organizational measures have been put in place, such as appropriate actions to address online security, risk of data loss, alteration of data or unauthorized access.
Zita is responsible for the overall organization of the events you register for in this website, the communication with the speakers and participants before and after the end of the event, as well as communication and promotion of the event. The data processor is Zita Congress and Event Management, operating on behalf of the controller providing sufficient guarantees to implement appropriate technical and organizational measures in such a manner that processing will meet the requirements of this Regulation and ensure the protection of the rights of the data subject and will support the registration and the logistics of the organization of the event through a framework contract with the joint data controllers.
Legal Basis for the processing
Zita processes your personal data in accordance with Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC.
The legal basis for the processing of personal data by Zita is the provision of article 6 par.1 point (e) of General Data Protection Regulation (GDPR) in combination with Article 5 of Greek law 4624/2019, i.e. processing is permitted when it is necessary for the performance of a task carried out in the public interest.
In addition, your consent is required for:
- Taking photos and videos during the event;
- Including your name, affiliation and email address in the list of participants which will be shared among invited participants before and after the end of the event.
Access and disclosure of your Data/Information
Access to your data is granted only to Zita and the contractor’s staff, who are involved in the organisation of the event. Where necessary, we may also share your information with service providers for the purposes of organising the conference/event.
Due to informative purposes (informing the public about the results of the event) personal data (pictures, video or audio recording) may be diffused to a wider public (Social Media or Internet). If you do not agree with your image or voice being recorded and published, please use the possibility to opt out during registration or by contacting the organizer at any stage and explicitly specifying your request.
Zita will never divulge your personal data for direct marketing purposes.
How long do we Keep your Data?
Personal data is kept as long as follow-up actions to the event/conference/meeting are necessary with regard to the purpose(s) of the processing of personal data as well as for the meeting and its related management. Photos, audio and video recordings are stored in Zita’s Office drive for three years. Within this time, the files to be used for communication purposes and/or be archived for historical purposes shall be selected. The remaining files shall be deleted.

Any interested party has the right to lodge a complaint with the Hellenic Data Protection Authority.
